Project Tracking

Stock Tracking

Which certified material went to which equipment, what’s left in stock and what’s reserved, tracked record by record.

Purchasing

From material request to PO, receiving to incoming QC: one flow keyed by project number.

  • Material requests. Project requests with requester and project number; the link stays when turned into a PO.
  • Receiving and incoming. Arriving goods are recorded at receiving and booked to stock with an incoming QC report.

Production Tracking

  • Kitting. Material for a project is issued from stock against a material request line; who prepared it, qty and status are logged.
  • Project material management. All materials used on a project, with certificates, in the project material report.
  • Scrap tracking. Scrap from cutting is recorded separately; true consumption shows in reports.

Shipments

When the project ships, in which crates, by which route and with whom, in one record from preparation to delivery.

  • Partial shipments and crates. A project can ship in several lots; each crate keeps its dimensions, gross and net weight and contents, and the packing list is built from them.
  • Multi-leg routes. Factory to port by truck, port to destination by ship: each leg has its own carrier, dates, tracking number and payer (us, rebilled to the customer, or the customer).
  • Freight and insurance quotes. Freight, insurance, customs, port and crane quotes with currency and validity; the selected quote’s company is written to the leg or the insurance. Amounts are visible only to authorised users.

Accounts

Domestic and international customers and suppliers together with their quotes, projects and orders.

  • Account cards. Address, contact and authority details; customer vs supplier.

Material Planning

  • Demand by project. Select one or more projects; their material requests are gathered line by line in one list.
  • Supply source. Each line is marked as covered from stock or from a PO; lines covered from stock show as a warning in purchasing.

Subcontracting

Work sent out and taken in is tracked by project number and tied to the quality plan.

  • Both directions, one structure. Work sent to subcontractors and toll work from customers follow the same record structure, labelled by direction.
  • ITP and hold points. For ASME / PED work, steps from cutting to pressure test; the next step cannot be recorded until quality signs off.
  • Document requirements. The job cannot close until required documents such as WPS, WPQ, MTR and NDE reports are in; status is derived from the steps.

Nonconformance and CAPA

Every nonconformance is recorded with its source, severity and batch, and followed through to root cause and verified corrective action.

  • 8D structure. Description, containment, root cause (5 Whys, fishbone), disposition, corrective action and verification.
  • Traceable record. Batch / heat no, drawing no and revision on the record; every change kept in a non-deletable audit trail.
  • Closing conditions. ASME-scope records cannot close without Authorized Inspector acceptance, nor repairs without a new NDE result.

Equipment and Maintenance

The status of machines, instruments and hand tools comes from their maintenance records; faults, maintenance and calibration share one history.

  • Fault reporting. Operators report with three fields: equipment, what happened, and whether production stopped; the maintenance owner is notified.
  • Planned maintenance and calibration. Maintenance plans by interval in days; upcoming and overdue work stand out, and certificate expiry is tracked.
  • Status from records. A fault sets Faulty, a service visit sets In service; status is never picked by hand. Downtime is calculated from the record.

Process Times and Gantt

How long each step from request to production really takes, and how well suppliers keep their dates, measured from the dates in your records.

  • Step durations. Median and 80th-percentile time between request, PO, receiving, stock and kitting; where the time goes in one bar.
  • Supplier performance. On-time delivery rate and average delay per supplier.
  • Waiting work. Which step each item not yet released to production is in, and for how many days.

What happens after the demo?

Do we need special training?

The UI uses windows, a taskbar and a single search box; teams pick it up quickly. We give a short kickoff walkthrough.

Is İnsya ERP an accounting program?

No. It manages production, stock, projects and purchasing; official accounting and invoicing stay in your accounting software. Invoice and expense modules can be added if you need them.

How do I get support?

Can it be used for ASME work?

Yes. İnsya ERP was developed on ASME and PED shop floors: hold and witness points, Authorized Inspector acceptance, MTR and heat-number traceability, WPS / WPQ / NDE documents each have their place in the records.
